Student Operations Coordinator

Purpose of Position

The Student Operations Coordinator (Coordinator) assists the Assistant Director in the overall management of the student Operations Crew (Truck Crew) and daily operations needs. This includes the identification and remediation of concerns, utilizing crisis intervention skills while serving as a resource person for students, parents, administrators, and vendors. In addition the Coordinator will compile data and disseminate reports concerning the HS aspects of residential auxiliary operations. 

Responsibilities and Duties

  1. Support the development, implementation, and evaluation of systems and processes which supplement departmental objectives.
    • Participate in the recruitment, supervision, retention, training, development, and evaluation of student staff resources. Directly supervise the student staff Operations Crew.
    • Implement appropriate measures to ensure compliance with national, local, and University regulations and standards. Maintain applicable HS staff employment records.
    • Propose initiatives to address student service satisfaction and continuous improvements through appropriate data collection and reports.
    • Use and support information technology applications, including the implementation of data collection software.
  2. Assist with the management of auxiliary services within a highly active, student-centered, customer-oriented focus area serving current students and families, staff, and other University community members and constituents.
    • Manage the prioritization and general work flow of tasks performed by the student Operations Crew.
    • Assist with the coordination of Housing Services’ auxiliary services related communications including phone calls, e-mails, mailings, and faxes.
    • Communicate with Residence Life, ResNet, FMO, CPM, the Lock Shop, and other appropriate offices in order to assess and provide students and conference guests with appropriate residential facilities, furniture inventories, and amenity services in the residence halls.
    • Manage auxiliary service databases. Compile data and statistics as requested.
    • Maintain official records and files of residence hall rooms and general building conditions in accordance with office retention schedules.
    • Ensure that systems and processes maintain the confidentiality of all student information.
  1. Serve as a resource person for students, parents, administrators, and vendors.
    • Maintain a welcoming, customer-oriented work environment and assure appropriate student employee interactions with constituents.
    • Implement and maintain a system to educate and inform the campus community of departmental initiatives.
    • Create goodwill for the University in service to families of students, visitors, patrons, government officials, community leaders, and the general public.
  2. Perform other related duties as assigned.

Education Requirements (minimum)

Bachelor’s Degree; minimum part-time enrollment as a student in a graduate program at The Catholic University of America.

Experience Requirements (minimum)

Must have working knowledge of computer applications including MS Office Suite. Prior experiences in housing, residence life, or facility operations are beneficial.

Schedule Requirements

  1. The Student Operations Coordinator will work within the business hours of Office of Housing Services, which are Monday through Friday from 9:00 a.m. to 5:00 p.m.
  2. During the summer, the Student Operations Coordinator will work approximately 30-35 hours per week.
  3. During the academic year, the Student Operations Coordinator will work approximately 15-19 hours per week, and will establish regular office hours based on office needs.
  4. Additional assistance will be needed for critical residential transition periods. These include the weekend before classes begin for the Fall semester and the day after Commencement in May.

Personal Contacts in Performance of Job

Extensive contact with University personnel and students. Serves as representative of the Office of Housing Services. Some contact with outside vendors and friends of the University.

Physical Demands

Must be able to physically respond to all areas of university housing. The incumbent must have the ability to tour and document all levels of residential buildings.
